Client Tracking/Monitoring
CLIENT TRACKING/MONITORING
Clients' attendance and progress at their respective Training Institutions will be tracked using one or more of the following methods:
- An Attendance and Progress Report (Refer to Appendix for Attendance and Progress Report Form) may be completed by the client and signed by the Training Institution/instructor and the client (may be timed for release of living allowance payments, where applicable).
- Physical observation by MHRDA staff through site visits to Training Institutions, or employers/host agencies (in case of employment based interventions).
- Telephone contact between MHRDA staff and Training Institutions (this could include instructors, finance department, aboriginal liaisons, and tutors/counsellors).
- Obtain copies of direct student materials (marks, tests, exams, etc.).
Documentation of these client-monitoring activities will be retained in the client file.
DATA Entry
"Bring Forward" (BF) dates will be entered for each client according to the following schedule based on the length of the training:
September to April
September to June
Short Term Training (more than 8 weeks)
Training (less than 8 Weeks)

November 1st and March 1st (1 per semester)
November 1st, March 1st, and May 1st (3 in total)
At midpoint of training
At conclusion of training

Results of contact at these scheduled times are entered in narrative form in the Client Data System, and printed for the file at the conclusion of the training.
